Job Title: Senior Administrative Assistant / Executive Administrative Support
Assignment Duration: Initial 6-month contract
Work Location: Harbor Point – Hybrid (4 days onsite, 1 day remote)
Role Summary
This role provides direct administrative and operational support to one or more senior leaders and/or senior individual contributors. The position requires a high level of professionalism, discretion, confidentiality, tact, and diplomacy. The individual will work in a fast-paced environment, anticipate leadership needs, exercise independent judgment, and ensure seamless administrative support across teams. May provide guidance or task direction to less experienced support staff and assist managers with the rollout of new processes or policies.
Key Responsibilities

Perform moderately complex and confidential administrative duties requiring strong knowledge of organizational policies and procedures.

Screen and route calls and visitors; independently resolve routine and moderately complex inquiries.

Manage and maintain executive calendars, including scheduling meetings, appointments, and travel arrangements.

Proactively anticipate leadership needs and exercise moderate autonomy in troubleshooting issues as they arise.

Support planning and execution of meetings, seminars, workshops, and conferences, including:

Scheduling and logistics coordination
-
Preparation and compilation of materials and packets
-
Liaising with internal teams, external participants, speakers, and vendors

Assist with special projects across multiple teams, including participation in defined workstreams.

Conduct research and compile, analyze, and summarize information for reports and correspondence for senior leaders or senior individual contributors.

Maintain and update databases, shared drives, and collaboration sites; provide accurate process and procedural information as requested.

Coordinate executive and leadership meetings, including:

Reserving meeting space

Catering and security notifications

Agenda creation and material collection

Recording and distributing meeting minutes

Tracking and managing attendance responses

Assist with preparation of correspondence, memoranda, reports, expense documentation, vouchers, copying, filing, and records management.
Qualifications
Required:

Bachelor's degree OR equivalent combination of education and relevant professional experience

3 years of relevant administrative or executive support experience

Demonstrated ability to handle sensitive and confidential information with discretion

Strong organizational, communication, and time-management skills

Experience supporting senior leaders in a fast-paced, professional environment
